Communication is a positive thing. Tools that allow communication mean that we can quickly and easily connect with friends, family and colleagues. But with such a variety of different methods available to enable us to get in touch with others – are we saturated by communication?
Businesses alone are inundated with companies offering them the latest tools to manage their workflow and workforce. From Salesforce to Trello, Facebook for Business and Slack. Whilst each tool has its own benefits, when there are so many on offer how do you know which is the right one for you? How can you ensure that you don’t inundate staff with so many tools they don’t know which is the right one to use!
The truth of the matter is for many employees email is the prized method of communication. They can quickly communicate through this method and then easily store a copy of their sent email or the response for review later. This is the point in which many businesses become saturated with opportunities and select more than one communication tool. Not only does this mean extra implementation for your IT team but it also means confusion for your employees. Adopting rules like they can only use one platform for contacting HR, another for contacting IT and a further one for contacting their team means that they will just give up and revert to email and telephone. It’s what they know and it works. It also means that they have less chance of making the wrong choice.
This shouldn’t, and needn’t, be the case. With the right tool for your business you can ensure that communication is a positive thing and you aren’t saturating employees with methods and means.
Tips to avoid communication saturation
- Select just one tool in addition to your basic communication methods (typically email and telephone) – look for one that enhances your working environment for employees and enables them to work faster, more productively and better overall.
- Talk to your employees. Don’t make decisions based on what you think they want, ask them what they require and make your judgement based on their true opinions. After all, your employees will be the ones making full use of any tool you decide to implement.
- Remove any tools or platforms that your business no longer makes full use of. There is no need to keep legacy applications available if they no longer serve a purpose. This will once more assist your employees in knowing what tools they should be using and looking for.
